1. General Overview & Commitment to Quality
At NexVolt, we stand behind the engineering, durability, and reliability of all our enterprise-grade hardware, electrical components, and safety solutions. We understand that in industrial applications, the specifications, fit, and operational integrity of every component are absolutely critical. If you are not entirely satisfied with your purchase, or if the product does not meet the exact technical requirements of your project, we are here to help facilitate a comprehensive and transparent return process.
This Refund and Return Policy governs all direct purchases made through the NexVolt web platform, our B2B portal, or directly via our authorized regional sales representatives. Please review this document carefully to understand your rights, responsibilities, and the procedures involved.
2. Eligibility Criteria for Standard Returns
To ensure a smooth processing experience, returned items must strictly adhere to the following eligibility guidelines:
- Timeframe: The request for a return must be initiated within 30 calendar days from the date of delivery.
- Condition: The item must be unused, unaltered, uninstalled, and in the exact same condition that you received it. Any signs of wear, installation marks, or electrical testing will void the return eligibility.
- Packaging: The item must be returned in its original, undamaged packaging. This includes all manuals, warranty cards, calibration certificates, protective foams, and accompanying hardware accessories.
- Proof of Purchase: A valid receipt, digital invoice, or official Purchase Order (PO) number must be provided at the time of the return request.
3. Non-Returnable & Restricted Items
Due to the specialized, custom, and highly regulated nature of certain industrial components, the following items are strictly non-returnable and non-refundable unless they are proven to be defective upon arrival:
- Custom-engineered hardware, modified enclosures, or made-to-order control panels manufactured to specific client schematics.
- Consumable industrial materials (e.g., thermal pastes, specialized adhesives, lubricants, sealants).
- Cables, wiring solutions, or conduits that have been custom-cut to length.
- Software, digital licenses, or firmware upgrades for Smart Switches, PLCs, and Automation sensors.
- Personal Protective Equipment (PPE) that has been opened or unsealed, due to stringent health and safety compliance regulations.
- Items explicitly marked as "Final Sale," "Clearance," or purchased as part of a specialized liquidation event.
4. The Return Merchandise Authorization (RMA) Process
We do not accept returns that have not been authorized in advance. To initiate a return, please adhere strictly to the following procedure:
- Initiation: Contact our enterprise support and logistics team at returns@nexvolt.com. Include your Order ID, the specific SKU(s) you wish to return, and a detailed reason for the return.
- Evaluation: Our team will review your request within 2 business days. If photographs of the item's current condition are required, you will be notified.
- RMA Issuance: Upon approval, you will be issued a unique Return Merchandise Authorization (RMA) number along with detailed shipping instructions and a commercial return label (if applicable).
- Packaging: Securely pack the item. The RMA number must be printed clearly on the outside of the shipping box. Packages without a visible RMA number will be rejected at our receiving dock.
- Dispatch: Ship the item using an authorized carrier with tracking and insurance. NexVolt is not responsible for items lost or damaged during return transit.
5. Restocking Fees & Return Shipping Costs
Because our products require careful inspection, testing, and repackaging before they can be placed back into inventory, a standard 15% restocking fee applies to all non-defective returns. This fee will be deducted from your final refund amount.
Unless the return is a direct result of a NexVolt processing error (e.g., incorrect item shipped) or a verified manufacturing defect, the customer is responsible for all return shipping logistics and associated freight costs. Original shipping and handling charges, including expedited freight fees, are non-refundable.
6. Processing of Refunds
Once your returned item is received at our regional logistics center, it will undergo a thorough technical inspection by our QA department. We will notify you via email of the approval or rejection of your refund within 3 business days of receipt.
If approved, your refund will be processed immediately. A credit will automatically be applied to your original method of payment (e.g., Corporate Credit Card, Bank Transfer, or applied as an open credit against your enterprise account) within 7 to 14 business days, depending on your financial institution's processing times.
7. Damaged, Defective, or Incorrect Deliveries
If you receive a product that is defective, damaged in transit, or incorrect based on your original Purchase Order, you must notify NexVolt within 48 hours of delivery.
In such instances, NexVolt will waive all restocking fees and cover all return shipping costs. We will immediately dispatch an expedited replacement (subject to inventory availability) or issue a full refund to minimize downtime for your project.
8. Exchanges and Upgrades
We do not process direct exchanges. If you need to swap an item for a different technical specification, size, or model, you must process a standard return for the original item (subject to the terms above) and place a separate, new order for the desired product.
